Batch Reporting
This highly requested and anticipated feature will now allow you to mass generate your Monitoring Reports for multiple Clients without the need to open each Client individually, saving you a significant amount of time when generating your Monitoring Reports. The instructions below will walk you through the Batch Reporting process:
To initiate the Batch Reporting process, click on the Clients tab on the left side of your screen in the Fiduciary Focus Toolkit. You will notice that there is now a Batch Monitoring Reports tab located next to the Clients tab.
Click on the Batch Monitoring Report Tab, this will take you to the Monitoring Report Batch Actions screen as shown below.
There are 4 steps or actions that comprise the Batch Reporting process. First, click “Generate”, which will allow you to choose all or your selected subset of clients’ draft monitoring reports so you can produce their client-ready pdf files in mass. Select the quarter/time period that you wish to produce your reports for by clicking on the quarter dropdown box and choosing the appropriate quarter:
If you do not want to include all of your available monitoring reports in the batch you are creating, you can check the boxes to the left next to each monitoring report you wish to include in your batch as shown below:
Please note that depending on the size of your Book of Business, you will need to process your reports in batches of 100 or less instead of all at one time.
Next, click the “Generate Report” button. You will then be prompted to: 1) Name your Batch, 2) Choose all monitoring reports or your selected subset of reports, and 3) Select your desired monitoring report template. You can then click the “Generate Reports” button at the bottom the screen. Your reports will then be submitted for generation. The time that it takes to generate your reports will vary depending on the number of reports selected. You can continue working throughout the Toolkit or even log off while your batch reports are generating in the background.
You will also notice the “Change Batch Action” and “Report Batch Status” buttons in the top right side of your screen. You can click “Report Batch Status” at anytime to check on the status of your batch. This will show you the name of your batch, number of reports processed in your batch, date requested, and batch completion status. Clicking the “Change Batch Action” button will return you back to the Monitoring Report Batch Actions page.
Once your batch generation is complete, click Download from the Monitoring Report Batch Actions page in order to select the appropriate quarter time period along with all of the desired now client-ready or previously completed monitoring reports from your batch that you wish to download.
Click the blue Download Report button and on the next screen select all or your subset of desired reports to download. Finally, click the blue “Download Reports” button at the bottom. Your Monitoring Reports will download via a .zip file that will contain all of your individual PDF reports. Again, you can continue working in the Toolkit while your reports download in the background.
After your reports have been downloaded, you can click on the “Complete” option from the Monitoring Report Batch Actions screen in order to select all or a subset of your client-ready monitoring reports so you can move them to the ‘Completed’ status in mass. To do this, choose the appropriate quarter time period for which you wish to move your reports into Completed status, then simply click on the blue “Complete Report” button to move all of or your selected client-ready reports to Completed status.
Lastly, if you make a mistake or need to go back and reproduce one or many of your client-ready or completed reports, you can do so by selecting the “Reproduce” button from the Monitoring Reports Batch Action screen. Simply select the quarter time period and reports you wish to reproduce, then click the blue “Reproduce Report” button. Select all or a subset of reports to reproduce, then click “Reproduce Reports” at the bottom of the slide in screen.
Reproducing selected reports will then return those reports back to Draft status. From here, you can follow the same batch reporting process from the beginning in order to generate and complete your reports.
